1. Your Agreement with The Stag Company

To book a tour or event with The Stag Company you must place a deposit as specified by your event consultant. By placing this deposit you confirm the accuracy of all information provided and accept these terms and conditions on behalf of yourselves and anyone else in your party. The agreement between yourself and The Stag Company only comes into existence once your booking has been formally acknowledged in writing by The Stag Company. Unless you advise us to the contrary we will assume that every member is over the age of 21 years. Unless you contact The Stag Company in writing within 24 hours of receiving The Stag Company's written acceptance, you will be deemed to have agreed to the contract terms. The terms and conditions and general information constitute the entire agreement between you and The Stag Company. It must be understood that those booking via telephone or e-mail accept our booking terms and conditions.

2. Payment to The Stag Company

If you are booking a tour or event more than 31 days before the date of the tour/ event, you must pay a deposit of £40 per person unless specified otherwise by your event consultant. Any deposit paid by you will not be refundable. The balance of the sum due must be paid at least 31 days before the date of the tour/event and if you should fail to make this payment the deposit will be retained and The Stag Company will consider the tour cancelled. If you book a tour /event within 31 days of the date of the tour, the full cost of the tour is immediately payable. All AMEX card payments will carry a 3% processing surcharge & all other credit cards will be subject to a 2.5% surcharge. All debit card transaction will be subject to a 0.50p surcharge. The minimum group size is 8, this may reflect in your payment should your numbers drop below this. After the final payment date as detailed in your booking confirmation all monies are non-refundable.

Group leaders are informed that they must make their payments over the phone and not via the online payment system as it will not take into account the deposit you have paid. Any over payments on the booking, or monies returned due to cancelled places or bookings will be subject to a £1 administration fee per cheque.

3. Promotional offer

The Stag Goes Free Special offer only applies with the following conditions: You must have a minimum of a one night stay, at least one daytime activity and your party must be 20 people or more all participating in the full package. This offer is only valid from 1st July 2008 until 31st December 2008 the bookings can be for any time in 2008/2009.

Free Place For Stag & Hen if packages booked with both www.thestagcompany.com & www.henheaven.co.uk. This offer only applies if you place a booking with both companies and one member of each party will be entitled to a free place. You must book a weekend package with The Stag Company & Henheaven to be entitled to a free place. A weekend is defined as a 1 nights hotel stay, 1 daytime activity and 1 evening activity.

£30 off for one group member if party reaches 15. This special offer only applies if you have booked a minimum of one night stay, at least one day/night-time activity and your party must be 15 on the date of final payment as specified in your booking confirmation

4. The Stag Company Package Prices

The price of the tour/ event is as detailed on the website / general information. Prices shown are correct at the time of going to the press but please note that the price may change as a result in suppliers of services or other relevant matters pertinent to your booked tour/ event. The Stag Company will advise you in writing of any increase in charges payable which must be paid in full prior to the event date. The Stag Company reserves the right to change any of the event/ facilities or prices described in the brochure before the agreement between you and The Stag Company is concluded. All Price are inclusive of VAT.

5. The Stag Angels

Certain Stag Angels are more popular than others. In the event that your 1st choice of Stag Angel is unavailable on your chosen weekend, then your 2nd Choice Stag Angel will escort you on your weekend. In the event that your 2nd Choice Stag Angel is unavailable then another Stag Angel will be chosen for you. You will be notified of this event.

6. Insurance

The Stag Company is fully insured in respect of public liability and professional indemnity risk in the event of negligent bodily injury, property damage or financial loss. Specialist Personal Accident covers is available for individual group members. Details upon request.

7. General

Despite our suppliers being aware of the nature and likely intent of stag groups, you are expected to respect your environment and other people around you. All suppliers and hotel have every right to terminate, without notice, your stay or activity under threat of vandalism, violence or any other behaviour deemed inappropriate by them. In such cases all insurances will be invalidated and you will not have any entitlement to a refund of any kind whatsoever. We accept no liability for any accident or misadventure that occurs while any of your group is under the influence of drinks or drugs. Please also be aware that some hotels may require a behaviour 'bond' to be placed on hold with a credit card or cash, upon check in. We will do our utmost to give you prior notice where this might happen, but in some extreme cases this may not be possible. Please check with us when paying your final balance. Monies paid to us are held in a separate bank until after your booked event, in keeping with the package holidays & Tour Regulation 1992. The "term centrally located hotel" means up to a 15-20 minute walk from the designated destination city/town centre.

We always try to place groups in twin rooms where available however if these are not available you may be in triple or quad rooms

8. Cancellation of your Stag Weekend

If The Stag Company changes or cancels an event that has been booked, unless you choose an alternative/tour, any monies paid by you will be returned in full. In the event of an alternative event / tour being booked at a different price to that cancelled then an appropriate refund or further payment will be made as applicable. If we are unable to provide any event or service due to any reason beyond our control, a replacement will be found.

In the event of you cancelling for whatever reason a booked tour / event with The Stag Company, you must do so in writing 31 days or longer before the first event commences, in cancelling the booking within this period you will forfeit any deposit paid to us. Furthermore, in the event of cancelling the whole reservation more than 31 days before the event date, any monies already paid by individual group members will also be non-refundable. In the event of cancellation 31 or fewer days before the tour / event the entire cost shall be payable. The Stag Company will not be responsible for the cancellation of any event due to force majeure.

If any payments have been made up to the final payment date as detailed in your booking confirmation and we do not hear from the group leader the booking will be closed off with these figures. After this date if we do not hear from the group leader within 2 weeks of the weekend date we will be forced to cancel the weekend in respect of our suppliers and any  payments made to said supplier prior to this date will be non-refundable. The suppliers may then fill your allocated slots at their discretion. All monies at this stage will be non-refundable and to re-establish the booking you must place a further deposit and the full booking cost.

In the event of an extension on your final payment date, all payments received on your booking up to the original final payment date and new final payment date are non-refundable.

9. Law & Jurisdiction

This agreement is governed by English Law and shall be subject to the jurisdiction of the court of England and Wales.

10. The Stag Company Complaints Policy

If you have a complaint regarding any aspect of the tour/event, you must communicate your complaint to the supplier of the service concerned at the earliest opportunity and also contact The Stag Company to let us know of your complaint. If you do not inform the supplier of the service as well as The Stag Company as soon as possible, at least within 48 hours of the complaint occurring, The Stag Company will not be responsible for the complaint. If the complaint has not been dealt with to your satisfaction before your return home, then you must make a complaint to The Stag Company in writing no less than 28 days after your return from the tour/event. If you do not comply with the complaints procedure, The Stag Company will not be responsible for your complaint.

11. Alterations to Bookings

If any alterations or additions to group size are made to bookings after the due date of final payment, as stated in the Booking Confirmation, the individual will be charged £20 per change or addition. If you wish to change the date of weekend after placing the deposit there will be a charge of £75. Any changes in date, location or activities (if possible) will incur a £75 charge.

12. Age Restrictions and Limits

It is not down to us, the agency, to ensure all members of your party are of an age to participate in all activities. The group leader takes this responsibility when booking and must ensure all members of their party are over 21 years of age. If this is not the case and some members of your party fall into this age category, please check with us that the events you book can accommodate the younger members of your party. If this is not checked prior to your booking and you encounter problems during your weekend, The Stag Company cannot be made responsible.
